AI for bookkeepers is a set of task tools, not one product. Receipt capture, bank-feed coding, client questions about uncategorized lines, reconciliation, bill coding, client email and 1099 filing each have tools that take the repetitive part. None of them takes the judgment: you still choose how a transaction is coded and which client file you accept.

What can AI do for a bookkeeper?

AI can take the data entry out of eleven recurring bookkeeping tasks, from collecting client documents to filing 1099-NECs. It captures receipts, suggests categories, matches bank lines, drafts client emails and report commentary. It does not settle how a transaction is coded or whether a document is right. That stays with the bookkeeper, task by task.

Adoption is already daily for many. In its 2025 Accountant Technology survey of 700 US accounting professionals (April 2025), Intuit QuickBooks found that 46% use AI daily. The top automation uses were payroll (47%), AP/AR (46%) and data entry (43%). The same survey found 66% feel overwhelmed by technology at least weekly, and respondents use 8 apps on average.1 So the question is not "which AI?" but "which task?". The job is shrinking, not disappearing: the US Bureau of Labor Statistics counts 1,532,400 bookkeeping, accounting and auditing clerk jobs in 2025 and projects a 6% decline by 2035.2 Data entry goes first; judgment stays.

Getting documents in: statements, receipts, bills

Getting documents in is where the month starts and where it most often stalls. AI tools here do two different jobs: one set gets the files out of clients and follows up, the other reads the files once they arrive. You need both, and they rarely come from the same vendor.

1. Collecting the month's statements, receipts and payroll reports

Firm owners rank this step first. In the 2024 State of Accounting Workflow Automation Report by Financial Cents, "getting info and documents from clients" was the top workflow challenge for 65.2% of 367 accounting, bookkeeping and tax firm owners.3 The 2025 edition, with 816 firm owners and administrators, calls it "still the biggest workflow issue".4

Do the arithmetic on your own book. If you keep 25 monthly clients and send each one 2 follow-up emails at 5 minutes each, that is about 4 hours a month of chasing, before a single wrong file. Each wrong-period statement you have to request again adds another round.

Financial Cents is a workflow manager: recurring monthly jobs create themselves with client tasks, document requests and auto-reminders, and its AI drafts client emails. Solo is $19 a month (annual only). It is heavier, and it does far more than collection.

2. Capturing receipts and bills

Dext Prepare captures receipts and invoices, extracts the data and publishes it to the ledger. Practice plans use per-client pricing with a 10-client minimum, and the AI Assist add-on is $7 per client. Hubdoc fetches and captures bills and receipts for $12 a month on its own, and it is included with Xero's Early, Growing and Established plans in the US. Coding the bank feed and asking clients about it

Bank-feed AI suggests a category for every transaction and, when it is confident, pre-fills it for you. What it cannot do is know why the client spent the money. That is why the second half of this section, asking the client, matters as much as the first.

3. Categorizing the bank feed

QuickBooks Online's Accounting AI moves bank-feed transactions to "Ready to post" when it is very confident of the category, customer or vendor. It needs Essentials or higher; Simple Start does not include it. Xero's JAX suggests and reconciles matches inside Xero. Booke AI works inside QuickBooks Online and categorizes the feed daily, at $129 a month per business. Digits is a separate AI-native ledger that codes transactions itself, from $65 a month. You still review the low-confidence lines and post.

4. Asking clients about uncategorized transactions

"What was this $412 at Home Depot?" Only the client knows. Uncat sends clients their uncategorized transactions to explain, collects receipts, and syncs the answers back to QuickBooks Online, QuickBooks Desktop or Xero, at $9 per client per month. Booke AI's Client Query Tool asks a client about a transaction in one click. Double (called Keeper until October 2025) puts client questions on a client-facing page; its per-client firm pricing is not published. You still judge whether "it was for the office" is an answer.

Reconciling and closing the month

Reconciliation AI proposes matches between bank lines and ledger entries; close tools run the checklist and surface anomalies. Both shorten the review. Neither signs off the month, and cleanup work still starts with getting the missing statements.

5. Reconciling bank and card accounts

Xero's auto-reconcile with JAX is on the Growing plan and up ($55 a month); Early ($25) is manual reconciliation only. QuickBooks Online offers AI reconciliation help on Plus and up. Booke AI flags inconsistencies inside QuickBooks Online, and Docyt runs categorization and bank and card reconciliation for accounting firms, with firm pricing on request. 6. Month-end close review

Double handles close checklists and review. Financial Cents runs the recurring close checklist per client. Intuit's accountant workspace (formerly QuickBooks Online Accountant) adds an AI chat and anomaly detection; the Core tier is free, and Accelerate is $0 in beta and $149 a month from January 20, 2027. Digits runs an AI close review covering categorization, reconciliation matching and anomalies. The sign-off is yours.

7. Catch-up and cleanup work

Catch-up often starts from PDF bank statements because the feed was never connected. DocuClipper converts scanned or digital statements to CSV, Excel, QBO, IIF or OFX, from $20 a month ($14 billed annually). Then the task 3 tools take over. The statements still have to come from the client first, which is task 1.

8. Paying bills

Bill-pay AI reads each invoice and codes it line by line to the right accounts, which removes the typing from AP. The payment itself stays a human decision.

BILL codes multi-line bills with AI from its Team plan up; the entry Essentials plan ($49 per user per month) does not include it. Firms can also run clients through BILL's AP & AR Partner Console, at $49 a month. Dext Prepare also extracts bill data before it reaches the ledger. You still release every payment and catch the duplicate invoice.

Client email and monthly reports

General chat assistants are good at the writing part of bookkeeping: client emails, explanations and first-draft commentary. Reporting tools add AI-written narratives on top of the numbers. Both produce drafts. You read every one before a client sees it.

9. Client email and routine questions

ChatGPT and Claude draft replies, soften a fee reminder, or turn a rule into plain English. Microsoft 365 Copilot works inside Outlook and Excel, and Gemini works inside Gmail. Karbon AI triages email with labels such as Client Query, drafts replies and summarizes threads, at no extra cost for Karbon customers. In Karbon's State of AI in Accounting 2026 (January 2026, nearly 600 professionals), respondents self-reported an average of 60 minutes a day saved per employee.5 For the request itself, borrow the wording in these document request email templates.

10. Monthly client reports and commentary

Fathom has a Commentary Writer that drafts report commentary. Reach Reporting adds an AI-written report narrative on every plan, from $149 a month for one connection. ChatGPT or Claude can draft a first variance note from numbers you paste. The advice behind the numbers is still yours.

11. Year-end: W-9s and 1099-NECs

Form 1099-NEC must be filed with the IRS and furnished to recipients by January 31. If you file 10 or more information returns in total, you must e-file them.6 AI tools here collect and check W-9s and e-file the forms. Knowing who gets a 1099 stays with you.

BILL collects and verifies W-9s on all paid plans. Avalara 1099 & W-9 (formerly Track1099) e-files at $3.10 a form for 1 to 15 forms and collects up to 25 W-9s free. Tax1099 charges $2.99 a form for the first 20 1099-NECs and $1 for one W-9 request. QuickBooks Online e-files as many 1099-NECs as you need; autofilling them from vendor and payment data in the books is a paid add-on. The W-9 method is in how to collect W-9s from vendors.

ChatGPT for bookkeepers: what it's good at, and what not to paste in

ChatGPT is good at writing and explaining, and bad at being a ledger. Use it for client email drafts, variance notes, Excel formulas and plain-English explanations of a rule. It does not post to QuickBooks Online or Xero, so every number it touches has to be checked against the books.

Watch what you paste. On the business tiers, the vendors say they do not train on your data by default: OpenAI for ChatGPT Business ($25 per user a month, $20 billed annually), Anthropic for Claude Team ($25 per seat a month, $20 billed annually). On a personal ChatGPT Plus or Claude Pro plan ($20 a month), check the data settings before any client name or account number goes in.

How to choose: start from the task that costs you the most

Pick the task that costs you the most hours, then the tool for that task. One tool per task beats a bundle you half-use. Your ledger narrows the list: in a QuickBooks Online shop, start with Accounting AI, Booke AI and Uncat; in a Xero shop, JAX on Growing and Hubdoc are already there.

Two warnings. First, lists titled "AI bookkeeping software" answer a different question. If you see Botkeeper, Zeni or Truewind in them, those are built to keep the books for a business owner, not to help a bookkeeper keep them. Second, count your chasing hours before your coding hours. For most solo bookkeepers the month does not stall at the bank feed. It stalls at the client who has not sent March yet.
