Terms of Service

The terms governing your use of DokuTrak. Plain version: $79/month Solo, month-to-month, cancel anytime from your billing portal — no calls or emails required. You own your data and can export your documents while your subscription is active.

Using DokuTrak

DokuTrak is a document intake, reminder, and review workflow for professional service firms. You may use it only for lawful business purposes and in compliance with the laws, client notices, consents, and professional obligations that apply to your work.

Your responsibilities

  • You are responsible for the documents you request from clients and for your downstream use of those documents.
  • You must have the right to upload, request, store, and process the data you place in DokuTrak.
  • You must not upload malware, unlawful content, secrets unrelated to your workflow, or data you are not authorized to process.
  • You are responsible for configuring your users, reviewing documents, and making final approval decisions.

AI First-Pass Review

AI First-Pass Review is an assistive feature. It can suggest that a document looks valid, wrong, incomplete, expired, unreadable, or uncertain, but it does not replace professional review. DokuTrak does not guarantee that AI will detect every issue or that every AI flag is correct.

AI First-Pass Review is off by default and controlled by a workspace admin toggle in settings. When enabled, documents are processed on Cloudflare Workers AI — the infrastructure provider that already stores uploaded documents — as described in the Privacy Policy and Security page; as of July 10, 2026, DokuTrak does not send first-pass review content to standalone AI API vendors. You are responsible for informing your clients and obtaining any consent or lawful basis required for your use case.

AI First-Pass Review is intended solely to check whether a submitted file matches the requested document type and is readable, complete, and unexpired. It is not designed or intended to assess creditworthiness, eligibility, identity, or the merits of any application, and must not be used as a factor in such decisions.

Customer data and confidentiality

DokuTrak will access and process uploaded documents only to provide, secure, and support the service; will treat them as your confidential information; will not use them to train AI models; and will not disclose them except to the subprocessors listed at /security, at your direction, or as required by law.

Billing

Paid plans are billed through Stripe. Subscription details, trials, renewal dates, invoices, payment methods, cancellations, and failed payment handling are managed in Stripe checkout and the customer portal. Unless stated otherwise during checkout, plans are month-to-month or annual and can be canceled for future renewal.

Fees are non-refundable except where required by law. When you cancel, your plan stays active until the end of the current billing period. We may change prices with at least 30 days’ notice, effective from your next renewal.

Suspension and termination

We may suspend or terminate access if you breach these terms, use DokuTrak unlawfully, put the service or other customers at risk, or fail to pay. Where practical we will give notice and a chance to resolve the issue first, except where a delay would create legal or security risk. You may stop using DokuTrak and close your workspace at any time. On termination your right to use the service ends, and you can export your documents while your subscription is active.

Ownership

You keep all rights to the documents and data you and your clients upload. DokuTrak keeps all rights to the software, interface, and brand. Nothing in these terms transfers ownership of your content to us or of our service to you.

Security and compliance limits

DokuTrak implements security controls described at /security. DokuTrak does not currently claim SOC 2, ISO 27001, HIPAA compliance, or BAA support. A Data Processing Addendum covering our role as processor is available on request at [email protected] and is required for customers subject to the GDPR.

Availability and changes

We work to keep DokuTrak reliable, but the service may be interrupted by maintenance, upstream provider outages, abuse prevention, security incidents, or infrastructure failures. We may update features, subprocessors, limits, and these terms as the product evolves.

For material changes to these terms, we will notify workspace admins by email at least 30 days before the change takes effect. Continued use after the effective date constitutes acceptance.

Warranty disclaimer

DokuTrak is provided “as is” and “as available.” To the maximum extent permitted by law, we disclaim all warranties, express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted or error-free, or that AI First-Pass Review will detect every issue.

Limitation of liability

To the maximum extent permitted by law, neither party is liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill, arising out of or related to your use of DokuTrak. DokuTrak’s total liability for any claim is limited to the amounts you paid us in the 12 months before the event giving rise to the claim.
