Magic Link uploads
Your clients never create an account.
You enter your client's email. DokuTrak sends them a link. They click and upload. That is the entire flow. No password to set, no verification email, no "which email did I sign up with" confusion. The login wall is the single biggest reason documents never arrive. We removed it.

Automatic reminders
Polite cadence. No spam. No manual follow-up.
DokuTrak sends reminders on a behavioral-psychology-based schedule. Not "every 24 hours forever" — a cadence tuned to nudge without annoying. You stop being the person chasing your client for the fourth time this week. The software does it, in a tone you would want on the receiving end.
Every reminder is logged. You see exactly when your client was contacted, how they responded, and whether they opened the link.

One-click validation
Accept or reject. DokuTrak handles the replacement.
When a document arrives, you review it. If it is wrong — blurry, outdated, wrong form — click Reject and write one sentence. DokuTrak automatically emails your client with your note and re-opens the upload slot for that specific document. No new thread, no "can you send that again", no forwarding emails back and forth.
A rejection takes one click and one sentence. Replacements come back through the same link, kept tied to the same request.

Reusable request templates
Build once. Reuse for every similar case.
Every firm has recurring document-collection scenarios: I-130 filings, mortgage closings, tax season, onboarding paperwork. Build the template once — list of documents, descriptions, required fields — and send it to any new client in three clicks. You never type "please send me your passport, driver's license, and last three pay stubs" again.
Templates support variables: your client's name, the matter ID, the due date all auto-fill into the request.

Secure document vault
Find any document in 10 seconds, years later.
Every document you collect is stored in the vault, organized by client and matter, searchable by filename, content (OCR on PDFs and images), and tag. Three years from now, when a client emails asking for a copy of the paperwork they signed, you find it in 10 seconds instead of 20 minutes of email-archive archaeology.

Request dashboard
See every open request at a glance.
The dashboard shows you every active request, color-coded by status: waiting on client, waiting on your review, complete, overdue. You see at a glance which clients are stuck and which ones are moving. No spreadsheet, no whiteboard, no mental load.
Filter by assignee, matter type, or due date. Export the view as CSV for weekly operational meetings.

Multi-file per request slot
Collect a set of documents as one logical unit.
Some documents come in sets: tax returns have W-2s, 1099s, and the 1040 itself. DokuTrak lets you define a single request slot that accepts multiple files, all grouped together, all validated as one unit. Your client sees "Tax year 2024 filings" — one upload button, drop in all their files at once.
Supports PDFs, Word, Excel, PNG, JPG, HEIC (iPhone photos of documents). Max 100 MB per file.
