DokuTrak for Real estate agents
Client Portal for Real Estate Agents,
Every Document In Before Closing.
DokuTrak is the document collection tool for agents who refuse to chase paperwork the week of closing. One secure upload link per transaction (no client login), automated reminders, one-click validation. Plans start at $79/month.
The document collection problem in real estate
The file is never complete until the last minute
Signed disclosures, inspection reports, earnest money deposit proof, pre-approval letters, HOA documents — every transaction needs a dozen documents from people who are busy moving house. They trickle in by text, email, and photo of a kitchen counter, right up to the closing date.
Missing signatures and wrong versions surface at the worst time
The seller disclosure comes back with page 4 unsigned. The buyer sends a pre-approval letter that expired two weeks ago. Nobody notices until the transaction coordinator does the final file review — three days before closing.
Your compliance file lives in five places
Some documents are in your email, some in texts, some in a shared drive, some still on the client’s phone. When your broker or state audit asks for the complete transaction file, you spend an afternoon reassembling it.
How agents use DokuTrak
At contract acceptance, you send one secure upload link listing everything the buyer or seller owes: signed disclosures, inspection response, proof of earnest money deposit, insurance binder. Clients upload from their phone in minutes — no account, no password. You and your transaction coordinator watch the file complete itself in real time, reject anything wrong in one click, and walk into closing with a complete, organized file.
Transaction templates (buyer side, seller side, listing)
Build a template per transaction type with every document spelled out in plain English: "Earnest money deposit — wire confirmation or copy of the check", "Seller disclosure — all pages signed and initialed". Clients stop guessing what you need because the instructions are on the upload page.
Automated reminders that survive a 30-45 day escrow
Escrow timelines are long enough for clients to forget and short enough to blow up if they do. DokuTrak nudges them automatically — day 2, day 4, day 7 — so the follow-up happens without you or your TC playing bad cop by text message.
Reject a bad document without a new email thread
Unsigned page? Expired pre-approval? Click Reject, type what you need ("page 4 needs the seller’s initials"), send. The client gets an email, that one slot re-opens, and the rest of the file stays intact.
One organized file per transaction, forever
Every document lands in one place, tied to the transaction, named correctly, with a full audit trail. Broker file review, E&O documentation, state audit — you export the complete file in one click instead of excavating your inbox.

Why real estate specifically
Real estate document collection has a shape most tools ignore: the people sending you documents are one-time clients in the middle of the most stressful purchase of their lives. They will not create an account on a portal they will use for six weeks and never again. That is exactly the friction DokuTrak removes — one link, no login, upload from the phone they are already texting you from.
The deadlines are unforgiving. Inspection contingencies, financing contingencies, and closing dates do not move because a seller forgot to initial page 4. Every day a document is missing is a day of risk on the contingency calendar. Automated reminders and instant wrong-file rejection keep the file moving without you spending evenings on follow-up texts.
Built for individual agents, teams with a transaction coordinator, and small brokerages. DokuTrak handles the collection layer; your e-signature platform (DocuSign, dotloop, zipForm) and your MLS workflow stay exactly as they are — collect the supporting documents through DokuTrak, keep signing where you sign today.

Real estate FAQs
Does DokuTrak replace DocuSign, dotloop, or zipForm?
No — it complements them. Those platforms handle e-signatures on contracts and forms. DokuTrak handles the other half of the file: collecting supporting documents from buyers and sellers (proof of funds, earnest money confirmation, insurance binders, HOA docs, inspection responses). Most agents keep their signature platform and use DokuTrak for everything that has to be collected rather than signed.
Can my transaction coordinator manage the collection?
Yes. Add your TC as a team member (Solo, Team, or Agency plan depending on team size). They see the same dashboard, handle the day-to-day review of uploads, and you step in for exceptions. Every action is logged, so who accepted which document is never a mystery.
Can clients upload from their phone?
Yes — that is the primary way real estate clients use it. The secure upload link opens in any phone browser. Clients photograph paper documents (a cashier’s check, a signed disclosure page) and the photo uploads directly. HEIC (iPhone format) is supported. No app to install, no account to create.
Is it secure enough for financial documents?
Documents are AES-256 encrypted at rest and TLS 1.3 in transit, with a full audit log of every access. Each upload link is unique to the request and can be revoked at any time. Note: DokuTrak is hosted in Paris, France — if your brokerage has US data-residency requirements, review with your compliance contact before onboarding.
What happens to the file after closing?
It stays in your vault, organized by client and transaction, searchable years later. If your broker or state regulator requests the transaction file, you export everything in one click. No digging through old email threads for that one inspection response from two years ago.
Is it priced per transaction or per agent?
Neither. Plans are flat: $79/month Solo covers unlimited transactions and unlimited clients. Team and Agency plans add seats for TCs and team members. There is no per-file fee, so a busy month costs the same as a slow one.
