Tax organizers for each kind of client

By Arthur Teboul, DokuTrak · Published

In brief

A tax organizer is the questionnaire a preparer sends a client before the return: questions about the year, and next to each one the document a yes calls for. The organizers below each cover one kind of client, from rental owners to S corporations.

Tax organizers

An organizer is more than a document list. A checklist only names papers to send. A questionnaire asks short yes or no questions to screen what changed. An organizer does both and adds space for figures the forms do not show, such as business miles or a new dependent. The IRS intake sheet used by volunteer preparers, Form 13614-C, follows the same idea: questions first, documents second.

The individual organizer covers a Form 1040 return from top to bottom: household, income forms, deductions, credits and life events. The organizers in this section go deeper on one situation, so a landlord, a rideshare driver or a pastor answers the questions their return turns on instead of skipping pages that do not apply. Business returns get their own: an LLC starts with how it is taxed, because its tax classification sets the return it files.

Firms usually send organizers once the year closes, and set a return date well ahead of the filing deadline so missing papers can be chased. A completed organizer holds Social Security numbers, birth dates and bank details, so it should come back through an encrypted upload rather than plain email, in line with IRS Publication 4557 on safeguarding taxpayer data. A client does not have to fill in the organizer, but each question skipped is a document the preparer has to chase later.

Each question group names the IRS form or publication it follows, and every organizer downloads as a fillable PDF, a Word file and an Excel tracker.

Ask once. DokuTrak does the chasing.

  • Your client uploads from one link, with no account and no password.
  • Reminders go out on a schedule, by default 2, 5, 10 and 14 days after the request, until the file arrives.
  • With AI review switched on in your workspace (it is off by default), each upload gets a first pass that flags a file that is not the requested document or an unreadable or blurry scan. It says so when it is not sure.
  • You accept every file or mark it for re-upload, and your client gets the note by email. The AI never accepts a file.
