Year-end payroll checklist for tax year 2026

By Arthur Teboul, DokuTrak · Published

In brief

A payroll year end checklist covers what to fix before the last payroll of the year, how to tie the annual totals to the four quarterly returns, and the January filings. For tax year 2026, Forms W-2 go to employees and the SSA by February 1, 2027 (IRS, General Instructions for Forms W-2 and W-3 (2026)).

The filing dates for tax year 2026

January is short. Most of the year-end work has to happen in December, while the last payroll can still fix a wrong address or a missing benefit value.

When a federal due date lands on a weekend or a legal holiday, it moves to the next business day (IRS Publication 15 (2026), Circular E, Employer’s Tax Guide). January 31, 2027 is a Sunday, which is why several dates below read February 1 (IRS Publication 15 (2026), Circular E, Employer’s Tax Guide).

Fix these before the last payroll of the year

Anything that changes wages has to be in a 2026 paycheck to land on the 2026 W-2. A bonus paid in the first days of January belongs to next year, even if it was earned in December.

Watch the benefits: taxable fringe benefits are non-cash benefits that count as wages, such as personal use of a company car. The value has to be set no later than January 31 of the next year, and you may estimate it before then (IRS Publication 15 (2026), Circular E, Employer’s Tax Guide). Group-term life coverage above $50,000 is another one (IRS Publication 15-B, Employer’s Tax Guide to Fringe Benefits).

A new Form W-4 that an employee hands in for next year does not change this year’s withholding (IRS Publication 15 (2026), Circular E, Employer’s Tax Guide). Collect them in December anyway, so the first January payroll uses them.

  1. Ask employees to confirm their name and mailing address.
  2. Check each name and SSN against the Social Security card or the SSA verification service.
  3. Add the year’s taxable fringe benefits to wages.
  4. Book bonuses and commissions paid this year.
  5. Collect HSA and retirement contribution totals for the W-2.
  6. Collect next year’s W-4 changes.

Check the social security wage base

The wage base is the cap on an employee’s wages subject to social security tax in a year. For 2026 it is $184,500, while Medicare tax applies to all wages (IRS Publication 15 (2026), Circular E, Employer’s Tax Guide).

Pull a report of employees with year-to-date wages above the base. Each one should show social security withholding equal to 6.2% of the base and nothing more (IRS Publication 15 (2026), Circular E, Employer’s Tax Guide).

Then update the base in the payroll software from the 2027 edition of Publication 15 before the first January payroll runs.

Tie the W-2s to the four quarterly returns

The W-2 instructions say amounts on Forms 941 should agree with Form W-3, and differences can bring a letter from the IRS or the SSA (IRS, General Instructions for Forms W-2 and W-3 (2026)). Run the annual register after the last payroll and compare it to the four returns before printing anything.

Publication 15 lists ways to avoid gaps, such as reporting bonuses as wages and as social security and Medicare wages on both forms (IRS Publication 15 (2026), Circular E, Employer’s Tax Guide).

Form 940 needs its own check. In a credit reduction state, one that has not repaid federal unemployment loans, the FUTA credit shrinks, and the final list for the year is set after November 10 (U.S. Department of Labor, ETA: FUTA Credit Reductions). If the client paid wages in a listed state, Form 940 needs Schedule A (IRS, Instructions for Form 940), and the extra tax is due with the fourth-quarter deposit (IRS Publication 15 (2026), Circular E, Employer’s Tax Guide).

  1. Run the annual payroll register.
  2. Add up wages, tips and withholding from the four Forms 941.
  3. Compare social security wages and Medicare wages separately.
  4. Compare state wages and state withholding to the state returns.
  5. Tie payroll liability accounts in the books to the provider’s report.

Electronic filing and corrections

An employer required to file at least 10 information returns has to e-file its Forms W-2 (IRS, General Instructions for Forms W-2 and W-3 (2026)). The count can include other information returns, such as Forms 1099, so a small employer can reach it.

An error found after filing goes on a corrected form: Form W-2c is the corrected wage statement, sent with Form W-3c (IRS, General Instructions for Forms W-2 and W-3 (2026)). If the original W-2 had to be e-filed, the W-2c must be e-filed too (IRS, General Instructions for Forms W-2 and W-3 (2026)).

File the year away

Save the annual register, the four Forms 941, Form 940, Forms W-2 and W-3, and the deposit history in one folder for the year. The IRS wants employment tax records available for at least 4 years (IRS Publication 15 (2026), Circular E, Employer’s Tax Guide).

The Department of Labor sets its own floor for the same files: three years for payroll records and two for the time cards behind them (U.S. Department of Labor, Fact Sheet #21: Recordkeeping Requirements under the FLSA). The payroll audit checklist is a good review to run on the year before you archive it.

Questions people ask

When are 2026 Forms W-2 due?

Employees must receive their 2026 Forms W-2 by February 1, 2027, and Copy A goes to the SSA with Form W-3 by the same date, on paper or electronically (IRS, General Instructions for Forms W-2 and W-3 (2026)).

What should I check before the last payroll of the year?

Check names, addresses and SSNs, add taxable fringe benefits, book bonuses paid this year, confirm benefit contributions for the W-2, and make sure social security withholding stopped at the wage base for high earners.

How do I reconcile W-2s to Form 941?

Add up the four quarterly returns and compare them to the W-3 totals: wages, federal withholding, social security wages and Medicare wages, each on its own line. Any gap needs a fix before you file.

How do I correct a W-2 after it was filed?

File Form W-2c with Form W-3c and give the employee the corrected copy (IRS, General Instructions for Forms W-2 and W-3 (2026)). If the original had to be filed electronically, file the correction electronically as well (IRS, General Instructions for Forms W-2 and W-3 (2026)).
