1099 contractor deductions: the forms and records to gather before you file

By Arthur Teboul, DokuTrak · Published

In brief

Tax deductions for 1099 workers start with the forms clients send: every Form 1099-NEC, 1099-MISC and 1099-K, matched against your deposits so nothing is counted twice or missed. Then come the receipts for the costs of doing the work, the records of expenses you billed back, and the inputs for the qualified business income deduction.

The checklist: Contractor income match and deduction file

Start with the client list for the tax year, then tick each form and record as it goes in the folder. Write "no form" next to a client who sent none, and keep their invoices instead.

Build your own list: Answer 10 yes-or-no questions and the tax document checklist generator combines the lists that apply into one checklist.

Who counts as a 1099 contractor

You are an independent contractor when the client controls only the result of your work, not what you do or how you do it (IRS, Independent contractor defined). Your pay then arrives with no tax withheld, and the client reports it to the IRS on an information return. You report the income and the costs of earning it on Schedule C (IRS, Self-employed tax center).

The label in the contract does not settle it. If the client has the legal right to control the details of the work, you are an employee, whatever the deal is called (IRS, Independent contractor defined). If you think a client got it wrong, raise it before you file, since a W-2 job brings a different set of papers.

The 1099 thresholds for 2025 and 2026

A Form 1099-NEC is the form a business sends to report what it paid you for services. For payments made in 2025, a client had to file one once it paid you $600 or more in the year (Forms 1099-MISC and 1099-NEC instructions, 2025). For tax years beginning after 2025, the line is $2,000, and it may be adjusted for inflation from 2027 (Forms 1099-MISC and 1099-NEC instructions (rev. 12/2026)). The same $2,000 line now applies to rents and other income on Form 1099-MISC, while royalties are still reported from $10 (Forms 1099-MISC and 1099-NEC instructions (rev. 12/2026)).

Payments by card or through a payment app follow a separate track. A payment app or online marketplace sends Form 1099-K when your payments for goods or services total over $20,000 in more than 200 transactions, and it may send one below that (IRS, Understanding your Form 1099-K). A card processor that takes your clients’ card payments sends one for any amount (IRS, Understanding your Form 1099-K).

None of these lines limits what you report. All business income goes on the return, whether or not a form arrives (IRS, Understanding your Form 1099-K). So in 2026, a client who pays you $1,800 in total may send nothing at all (Forms 1099-MISC and 1099-NEC instructions (rev. 12/2026)), and the invoice is your only record of it.

Match the forms to your deposits

The same dollar can show up on two forms. Card and app payments belong on Form 1099-K and are not supposed to go on a Form 1099-NEC (Forms 1099-MISC and 1099-NEC instructions (rev. 12/2026)). Some clients send a 1099-NEC anyway, while the processor reports the same payment. Add both to income and you pay tax twice on it.

The fix is a simple match. Put the forms in one column, the deposits from your bank statements in the next, and the client list in a third. Each payment should appear once. A corrected form is a new copy the payer issues when the first one was wrong, and you should ask for one rather than quietly report a different number.

One more line to check is Box 4. Backup withholding is federal tax a client must hold back when you did not give it a correct taxpayer ID (IRS, Backup withholding). It counts as tax already paid, so keep the form, and give each client a signed Form W-9 to keep it from happening again.

Expenses you bill back to a client

Many contractors pass travel costs on to the client. When a client pays you back for travel or gifts, you should give the client an adequate accounting of those costs, and as a self-employed person you do that by reporting your actual costs (IRS Publication 463 (2025)). If you do not, the reimbursement is income to you (IRS Publication 463 (2025)). Either way, you keep the full records (IRS Publication 463 (2025)).

Meals shift with the paperwork. If you do not account for meal costs and ask the client to repay them, the 50% limit applies to you (IRS Publication 463 (2025)). If you do, the limit moves to the client (IRS Publication 463 (2025)). So the expense report sent with each invoice belongs in your tax file, next to the receipts.

The qualified business income deduction

Most contractors can also take the qualified business income deduction, which lets eligible owners deduct up to 20% of the net profit from a business such as a sole proprietorship (IRS, Qualified business income deduction). It is figured on Form 8995 when taxable income is at or under the threshold, and on Form 8995-A above it (Form 8995 instructions (2025)).

The threshold depends on the year. For 2025, it is taxable income before the deduction of $197,300, or $394,600 on a joint return (Form 8995 instructions (2025)). For 2026, it is $201,750, or $403,500 joint (IRS Rev. Proc. 2025-32). Starting in 2026, an owner with at least $1,000 of qualified income from an active business gets a deduction of at least $400 (IRS Rev. Proc. 2025-32) (Form 8995 instructions (2025)).

The threshold matters most to consultants, lawyers, accountants and other professionals. The law lists those fields, consulting included, as a specified service trade or business (26 U.S.C. 199A). Above the threshold, the deduction for such a business shrinks and then stops: for 2026, it is gone at $276,750 of taxable income, or $553,500 joint (IRS Rev. Proc. 2025-32). So the preparer needs the whole household’s income, not just the Schedule C profit.

The costs of doing the work, and the tax on the profit

Once income is settled, gather the costs. Typical ones are things such as software, a laptop or tools, phone and internet, liability insurance, professional dues, ads and a website. Keep the receipt or invoice, not just the card charge. Driving from one client site to another counts, and the mileage log checklist gives the rate for each tax year.

As a contractor you also pay both halves of Social Security and Medicare as self-employment tax: 15.3% on 92.35% of your net profit (IRS Publication 334 (2025)). You then deduct one-half of that tax as an adjustment to income (IRS Publication 334 (2025)). Since no one withholds from your pay, quarterly payments usually follow, and the self-employed checklist sets out the due dates and the safe harbor.

  1. List every client and what each paid you in the year.
  2. Collect each Form 1099-NEC, 1099-MISC and 1099-K, and tick it off the list.
  3. Match forms and invoices to bank deposits; flag any payment counted twice.
  4. Pull the expense reports for costs you billed back, with their receipts.
  5. Sort the rest by type, then add the QBI inputs and last year’s return.

Questions people ask

Do I have to report income if a client did not send a 1099?

Yes. You must report all business income whether or not you receive a form (IRS, Understanding your Form 1099-K). Use your invoices and bank statements to show what each client paid, and keep them with the return.

What is the 1099-NEC threshold for 2026?

For tax years beginning after 2025, a business must report payments of $2,000 or more on Form 1099-NEC, and the amount may be adjusted for inflation from 2027 (Forms 1099-MISC and 1099-NEC instructions (rev. 12/2026)). For payments made in 2025, the threshold was $600 (Forms 1099-MISC and 1099-NEC instructions, 2025).

Do 1099 contractors get the QBI deduction?

Usually, yes. Eligible owners can deduct up to 20% of qualified business income (IRS, Qualified business income deduction). For a consultant or other specified service business, the deduction shrinks once taxable income passes the year’s threshold, which for 2026 is $201,750, or $403,500 joint (IRS Rev. Proc. 2025-32).

Is a client’s reimbursement of my travel taxable?

Only if you do not give the client an adequate accounting of the costs. Without that accounting, you must include the reimbursement in income (IRS Publication 463 (2025)). Keep the receipts either way.
