What bookkeepers collect from clients each month
By Arthur Teboul, DokuTrak · Published
In short
Bookkeepers collect bank and credit card statements, receipts, invoices, vendor W-9s and loan statements from each client to close the books every month. The request goes out as soon as the month ends and statements post. The friction: an account nobody mentioned, receipts sent in a pile at quarter end, and vendor W-9s chased in January when 1099s are due.
Bookkeepers
Monthly bookkeeping runs on a steady flow of documents: statements for every account, receipts behind card charges, invoices on both sides and payroll records. When the flow is regular, the close takes days; when it is not, months pile up and get reconciled in a rush.
The close usually stalls on the same items: a new account the client opened without telling you, a transaction export sent instead of the statement PDF, or receipts for charges nobody remembers. W-9s are another weak spot, easy to collect when a vendor is first paid and hard to get back in January.
Request guides

Ask once. DokuTrak does the chasing.
- Your client uploads from one link, with no account and no password.
- Reminders go out on a schedule, by default 2, 5, 10 and 14 days after the request, until the file arrives.
- With AI review switched on in your workspace (it is off by default), each upload gets a first pass that flags a file that is not the requested document or an unreadable or blurry scan. It says so when it is not sure.
- You accept every file or mark it for re-upload, and your client gets the note by email. The AI never accepts a file.
