Social Security card: when you need it, and how to replace it

By Arthur Teboul, DokuTrak · Published

In short

Your Social Security card is issued by the Social Security Administration (SSA) and shows your name and Social Security number. Many requests only need the number, not the card. If you need the card and lost it, request a replacement through my Social Security online, available in many states, or at an SSA office, with proof of identity.

What is a Social Security card?

The card shows your legal name and your nine-digit Social Security number, with a signature line. Some cards carry a legend such as “Valid for work only with DHS authorization” or “Not valid for employment”.

Employers, banks and tax preparers need your number to report wages, interest and tax returns. Some ask to see the card itself, for example to check the exact name and number, but many accept the number alone. Keep the card in a safe place rather than in your wallet.

Who sends it, and when

The Social Security Administration issues the card, once, when the number is assigned, often at birth. It issues replacement cards on request, including after a legal name change, and the number stays the same for life.

Where to get a Social Security card

  1. Your records at home: the original card, kept with your birth certificate or passport.
  2. A my Social Security account at ssa.gov, where adults in many states can request a replacement card online.
  3. An SSA office, for a name change, a child’s card or cases the online service cannot handle, with proof of identity.
  4. Your W-2, 1099 or tax return, if the requester only needs to confirm the number.

Wrong files people send instead

  • A card that still shows a former name after marriage or a legal name change.
  • A photo where one digit of the number is cut off or blurred.
  • A W-2 or a tax return sent when the requester asked for the card itself.
  • A laminated card: the SSA advises against laminating, and some requesters question laminated cards.

Questions people ask

How do I replace a lost Social Security card?

Request it through your my Social Security account at ssa.gov, available for adults in many states, or at an SSA office with proof of identity.

Do I need the physical card, or just the number?

Often just the number, for example on tax forms. Some employers, banks or agencies ask for the card. Ask the requester which one they need before ordering a replacement.

Does my number change if I get a new card?

No. A replacement card carries the same Social Security number, with your current legal name if you updated it.

Ask once. DokuTrak does the chasing.

  • Your client uploads from one link, with no account and no password.
  • Reminders go out on a schedule, by default 2, 5, 10 and 14 days after the request, until the file arrives.
  • With AI review switched on in your workspace (it is off by default), each upload gets a first pass that flags a file that is not a Social Security card or an unreadable or blurry scan. It says so when it is not sure.
  • You accept every file or mark it for re-upload, and your client gets the note by email. The AI never accepts a file.
