Google Forms File Upload: Limits and the Sign-In Requirement

Google Forms accepts files through a File upload question, but respondents must sign in to a Google account. In our editor check on September 19, 2026, the owner could allow 1, 5 or 10 files per question, with a size limit of up to 10 GB per file. The form’s total upload allowance is separate.

Start with the constraint your client has hit: file size, a full upload allowance, or the Google login screen. The sections below explain what you can change and when another upload method makes sense.

What is the Google Forms file upload size limit?

Google Forms lets the owner select a per-file limit of 1 MB, 10 MB, 100 MB, 1 GB or 10 GB. A new upload question defaults to 10 MB in the editor we checked on September 19, 2026. The chosen limit applies to each file; it is separate from the form’s total upload allowance and available Drive storage.

We inspected a new, unpublished form in the Google Forms editor on September 19, 2026. These were its controls and options:

Google’s question documentation and customization guide explain the controls but do not list these numeric options. The values above are our dated editor observations, not a test of uploading a 10 GB file. Check your own form’s settings and available storage before sending a large-file request.

For a client sending a scanned document, the practical check is the size of that file against the limit shown on the upload question. A larger form-wide allowance will not make an oversized individual file acceptable.

What is the Google Forms file upload limit per question?

Each upload question can allow 1, 5 or 10 files, with 1 selected by default in our September 19, 2026 editor check. This count applies to that question in one response, not to the entire client submission. Google’s Forms API reference, checked September 19, 2026, explicitly defines the count at question level.

You can add separate upload questions for an ID, income records and supporting documents. That lets you request several groups of files in the same form. All uploads still share the form’s allowance and available storage; adding questions does not create more storage.

Name each question after the document you need. It gives the client a clearer instruction than a single field labelled “Upload everything.”

Does Google Forms file upload require a Google account?

Yes. Respondents must sign in to a Google account to answer a File upload question. Google confirms this in its question-type documentation, checked September 19, 2026.

An external client needs a Google account they can use and permission to access your form. Test the responder link with an external account before sending it to clients outside your organization. If the form restricts who can respond, those access settings are an additional check.

Tell clients about the account requirement in the request itself. Finding out at the upload screen creates another step before they can send the documents.

Can Google Forms file upload work without sign-in?

Not with the native File upload question. Making a form available to anyone with the link changes who can open it; it does not remove the account requirement for uploading files.

If your client cannot use a Google account, provide another way to send the files. Removing the upload question lets you collect information without that particular requirement, but it also removes the native file upload. Other form settings can still require sign-in.

For occasional requests, a public upload form may be enough. For recurring client document packets, also consider how you will track missing files and request replacements.

File upload limit reached in Google Forms: what should you check?

Check both the question restrictions and the capacity available to the form owner. A per-file setting, a form-wide allowance and Drive storage solve different problems. This is a checklist of settings to inspect, not a claim that every upload error has the same cause.

If you are filling in the form

1. Read the upload question’s accepted file types, number of files and maximum file size. Match the files you are sending to those restrictions.
2. If a file exceeds the displayed size, ask the owner whether they can accept a larger file or provide another upload method. Do not make an important scan unreadable just to shrink it.
3. If the files meet the stated restrictions but the error remains, send the owner the exact error text and the question where it occurs. You cannot change their form allowance or Drive storage yourself.

If you own the form

1. Open the affected File upload question and review its file-type, count and size settings.
2. Open Settings → Responses → File upload and check the maximum total size of uploaded files. Our September 19, 2026 editor check showed a 1 GB default, adjustable to 10 GB, 100 GB or 1 TB. The editor warns that the form stops accepting responses once this total is reached. Increase the allowance only if you have enough storage for the additional files.
3. Check your available Google storage. Google states that a full account cannot accept new Drive uploads in its storage help, checked September 19, 2026. Raising the form’s allowance does not increase your storage quota.
4. After resolving a relevant restriction, retry with a small, non-sensitive test file that meets the question’s settings. If it still fails, use Google support with the exact error and the checks you have already completed.

If the File upload question itself is unavailable, Google lists forms stored in shared drives and administrator-enabled Data Loss Prevention as restrictions. That is a separate issue from a client hitting an upload limit.

How to set up file uploads in Google Forms

Add a question, choose File upload, and review the upload notice. Then set the accepted file types, maximum number of files and maximum file size. Review the form-wide upload allowance too. These steps follow Google’s setup instructions, checked September 19, 2026.

Preview the form and try the responder link before using it for a client request. For a document packet, make the names and instructions specific: “Proof of address” is easier to act on than “Attachment.” See how to collect documents from clients for request structure.

Where do Google Forms uploads go?

Uploads are copied to the form owner’s Google Drive, with a folder for the form and subfolders by question. In Forms, open Responses, then Individual to view a person’s files, or use View folder from the response summary. Google documents both routes in its customization guide.

The Drive folders are organized by question, but that does not mean you must hunt through every folder to inspect one person’s response. Decide whether the Individual view is sufficient or whether your work needs a separate checklist of documents still missing. Alternatives to Google Forms for uploads without sign-in

Tally, Jotform and Fillout support public forms. Review the access settings before sharing: choosing a tool that permits public uploads does not make every form public automatically. Fillout documents sharing a form link and optional access restrictions.

Upload limits checked against the linked vendor documentation on September 19, 2026. Jotform also confirms that respondents do not need an account when using a direct form link.

Do not assume a form builder lacks follow-ups. Jotform, for example, documents scheduled reminder emails for form assignees. Compare the actual request workflow you need: what is missing, who gets reminded and how you handle the wrong file.

A public upload form can solve the account problem. If you repeatedly collect client document packets, receiving a file is only one step: you still need to know what is missing, follow up and decide whether each document is usable.
