Proof of address: accepted documents and why some get rejected
By Arthur Teboul, DokuTrak · Published
In brief
Proof of address is a recent document from a company or agency, such as a utility bill, bank statement, lease or tax notice, that shows your full name at your current street address. Banks, DMVs, landlords and accountants each ask for it, and each sets how many and how recent.
What is proof of address?
Proof of address is any third-party paper that links your name to the street where you live or where your business operates. A reviewer reads the name, the full address including unit, the issuer and the date. Your own handwritten note or a screenshot of an app profile does not count.
The demand comes from rules. Before opening an account, a bank must collect a residential or business street address for you (31 CFR 1020.220, Customer identification programs for banks). A DMV issuing a REAL ID must see at least two documents with your name and principal residence (6 CFR 37.11, REAL ID application documents).
For a business, the same idea applies to the company. A bank collects a principal place of business, local office or other physical location for an entity (31 CFR 1020.220, Customer identification programs for banks).
Who sends it, and when
Utilities, phone and internet providers, banks, card issuers, insurers, landlords, lenders, employers and government offices all produce documents that show your address. You request nothing special: you use statements and notices they already send, or download them from your online account.
Where to get proof of address
- Log in to your bank, card or utility account and download the latest statement as a PDF.
- Look for a recent tax notice, benefit letter or voter card in your mail.
- Use your signed lease or most recent mortgage statement if you rent or own.
- If you just moved, add your new address everywhere first so the next statement prints it.
Wrong files people send instead
- The name on the bill does not match the ID, for example a maiden name or a missing middle initial.
- A statement older than the reviewer’s window.
- A P.O. box where the reviewer needs a street address.
- A photo with the address cut off, or a screenshot without the issuer’s name and the date.
- A document in a partner’s or parent’s name with nothing linking it to you.
Proof of address by who is asking
There is no single national list. The table shows what each kind of reviewer usually accepts and the rule or habit behind it.
| Who asks | Why | What usually works |
|---|---|---|
| Bank or credit union (KYC) | Must collect a street address before opening an account (31 CFR 1020.220, Customer identification programs for banks) | ID with current address, or a recent utility bill or statement |
| DMV for a REAL ID | At least two documents with name and principal residence (6 CFR 37.11, REAL ID application documents) | Two from the state’s list, such as a lease and a utility bill |
| Landlord | Confirm current address and rental history | Current lease or bank statement plus ID |
| Accountant or tax preparer | Correct address on the return and IRS mail | Latest bill or statement; Form 8822 if you moved |
| Employer HR | W-2 form and payroll records | Address update form, sometimes a bill or lease |
Proof of address for a bank account
KYC means know your customer: the identity check a financial firm runs before opening an account. For an individual, the bank must obtain a residential or business street address (31 CFR 1020.220, Customer identification programs for banks).
Someone with no street address of their own, such as a service member overseas, may give an APO or FPO box, or the street address of next of kin or another contact (31 CFR 1020.220, Customer identification programs for banks). The bank then verifies identity through documents, other checks or both (31 CFR 1020.220, Customer identification programs for banks).
For more on what firms ask for at onboarding, see the identity verification form guide.
Proof of address for your accountant and the IRS
Accountants ask for a current address because IRS notices and refund checks follow the address on file. You can update it with Form 8822, on your next return, or with a signed written statement (IRS, How do I notify the IRS my address has changed?).
Mail forwarding is not a safe substitute. The IRS may pick up a USPS change of address, but it warns that not every post office forwards government checks (IRS, How do I notify the IRS my address has changed?).
If no bill is in your name
Start with documents that follow the person: a bank statement, a pay stub, an insurance card or a tax notice mailed to the new address. These usually switch over within one billing cycle after you update your profile.
Some offices accept the household’s papers with a link to you. California, for example, accepts a USPS change-of-address confirmation and lets applicants trace their relationship to the person named on the bills (California DMV, REAL ID checklist). Otherwise, the person you live with can sign a proof of residency letter and attach their own bill.
Why reviewers reject proof of address
Most rejections are about matching and legibility, not the type of document. A street address is a house or building number with a street name, the thing a P.O. box lacks. Check these points before you send anything.
- Name mismatch with the ID, including a former name with no marriage certificate or court order.
- Date outside the window the reviewer applies.
- P.O. box only, where a street address is required (6 CFR 37.11, REAL ID application documents).
- Cropped page, missing the issuer’s logo, the date or the unit number.
- Two documents from one source when the reviewer asked for two different sources.
The template: Proof of address request email
Send this when you onboard a client and need a current address on file, for example before preparing a return or opening an account. Change the window to the one you apply.
Subject: Proof of your current address, needed by [date]
Hi [Client name],
To set up your file correctly, please send one document showing your full name and current street address by [date]: - Utility, phone or internet bill from the last [number] days - Bank or credit card statement - Signed lease or latest mortgage statement - Recent letter from the IRS or another agency
A full-page PDF is best, with the company name and date visible. If you moved this year, tell me the date so I can update your address with the IRS too.
Thank you, [Your name]
Questions people ask
Can a bank statement be used as proof of address?
Yes, at most banks, DMVs and landlords, if it is recent and shows your name and street address. California, for example, lists bank and card statements among its residency documents (California DMV, REAL ID checklist).
Why do some places ask for two documents?
DMVs must: REAL ID rules require at least two documents showing name and principal residence (6 CFR 37.11, REAL ID application documents). Banks and landlords often copy that habit to reduce fraud.
Is a P.O. box accepted as proof of address?
Usually not on its own. Banks need a residential or business street address for an individual, with narrow exceptions such as APO or FPO boxes (31 CFR 1020.220, Customer identification programs for banks).
What is the difference between proof of address and proof of residency?
They overlap. Proof of address shows where mail reaches you; proof of residency often means the home where you actually live, and DMVs and schools apply it more strictly.

- IRS, How do I notify the IRS my address has changed?: Taxpayers change their address with Form 8822, a new return or a signed statement; USPS changes may update IRS records, but not all post offices forward government checks.
- California DMV, REAL ID checklist: California accepts bank and card records and USPS change-of-address confirmations as residency documents, and allows tracing to the person named on them.

- Your client uploads from one link, with no account and no password.
- Reminders go out on a schedule, by default 2, 5, 10 and 14 days after the request, until the file arrives.
- With AI review switched on in your workspace (it is off by default), each upload gets a first pass that flags a file that is not the requested document or an unreadable or blurry scan. It says so when it is not sure.
- You accept every file or mark it for re-upload, and your client gets the note by email. The AI never accepts a file.
