> Residential property managers collect pay stubs, bank statements, a photo ID and sometimes tax returns from tenant applicants to verify income, plus W-9s and voided checks from owners and vendors. Requests go out when an application comes in and when an owner or vendor is added. The friction: partial pay stubs, applicants who stop answering, and vendors paid before their W-9 arrives.

Leasing moves fast: a good unit may have several applicants, and a complete file often gets reviewed first. Managers ask for proof of income and identity at application, with tax returns or 1099s when the applicant is self-employed, and a current lease when the applicant rents today.

On the owner and vendor side, documents feel less urgent until year-end: W-9s for 1099s, voided checks for payments, property tax bills and mortgage statements for the owner’s books. Applications stall on missing pay stubs or blurry IDs; vendor files stall until January.
