> Ask the client for the monthly or quarterly statement of every brokerage, money market or treasury account held in the business’s name, as the PDF from the provider’s website. You record the account’s activity and balance in the books: dividends, interest, trades, fees and transfers to and from the operating account. These accounts rarely have a reliable feed.

## Why bookkeepers need an investment statement

Businesses with spare cash often park it in a brokerage or treasury account, and the activity there is income the books have to show: interest and dividends, realized gains or losses, management fees. Transfers between that account and the operating bank account also need a matching entry on both sides, or the bank reconciliation will not tie. The statement is the only full record of that activity.

## What exactly to ask for

Every statement covering the period you are closing, for each investment account in the business’s name, including the activity pages, not only the summary. On a cleanup, ask for every statement since the account opened or was last recorded. At year-end, the consolidated Form 1099 from the broker confirms the year’s totals.

## What to check when it arrives

- The account is in the business’s name, not the owner’s, before you record it in the business books.
- Transfers in and out match the transfers on the business bank statements.
- Ending value, dividends, interest and fees are all readable, so each lands in its own account.

## Email to send your client

Subject: Statements for the business investment account

```text
Hi [Client name],
To record the income and balance of your business investment account, I need its statement for the period below. Please include the pages with the detailed activity, not only the summary.
The PDF from your brokerage’s website is the best copy, usually under Statements or Documents. If the business has more than one account, I need each of them.
Could you send them by [date]? If you are not sure whether an account is in the business’s name or your own, send what you have and I will check with you.
Thank you,
[Your name]
## Ask once. DokuTrak does the chasing.
- Your client uploads from one link, with no account and no password.
- Reminders go out on a schedule, by default 2, 5, 10 and 14 days after the request, until the file arrives.
- With AI review switched on in your workspace (it is off by default), each upload gets a first pass that flags a file that is not an investment statement or an unreadable or blurry scan. It says so when it is not sure.
- You accept every file or mark it for re-upload, and your client gets the note by email. The AI never accepts a file.
