> Form W-9 (Request for Taxpayer Identification Number and Certification) is the form you fill in and give to a business that will pay you, so it has your legal name, address and Social Security or employer identification number. You give it to the payer, never to the IRS. The payer uses it to prepare your 1099 later.

## What is a W-9?

A W-9 asks for your name, business name if any, federal tax classification (individual, LLC, corporation and so on), address and taxpayer identification number, then your signature certifying the number is correct.

It is usually requested before a first payment: by a new client, a bank, a broker or a payment service paying you. Non-US persons usually give a Form W-8BEN instead of a W-9.

## Who sends it, and when

You fill it in; the business that asks for it keeps it on file. The blank form is published by the IRS and is free to download from irs.gov.

## Where to get a W-9

1. The link or PDF the payer sent you with its onboarding request.
2. The IRS website, irs.gov, for the current blank Form W-9.
3. Your own files, if you have already filled one in this year with the same details.
4. Your accountant, if you are unsure which tax classification to tick.

## Wrong files people send instead

- An unsigned or undated W-9.
- A business name on line 1 when the number given is your personal SSN.
- An old revision of the form, when the payer asks for the current one.
- A W-4, the employee withholding form, sent instead of a W-9.

## Questions people ask

### What is a W-9 used for?

It gives a payer the details it needs to report what it paid you, usually on a 1099-NEC or 1099-MISC sent to you and the IRS.

### Do I send a W-9 to the IRS?

No. You give it to the business that asked for it, and it keeps it on file.

### Is it safe to send a W-9?

It contains your taxpayer identification number, so send it through a secure channel to a payer you know, not as a plain email attachment to an unknown sender.

## Ask once. DokuTrak does the chasing.

- Your client uploads from one link, with no account and no password.
- Reminders go out on a schedule, by default 2, 5, 10 and 14 days after the request, until the file arrives.
- With AI review switched on in your workspace (it is off by default), each upload gets a first pass that flags a file that is not a W-9 or an unreadable or blurry scan. It says so when it is not sure.
- You accept every file or mark it for re-upload, and your client gets the note by email. The AI never accepts a file.
