> A W-2 (Wage and Tax Statement) is the form an employer sends each employee by January 31, showing the year’s wages and the taxes withheld. Get it from your payroll portal or HR. If it has not arrived, ask the employer first; still missing at the end of February, call the IRS. You get one W-2 per employer.

## What is a W-2?

Form W-2 reports what an employer paid you during the calendar year and what it withheld for federal income tax, Social Security and Medicare. State and local withholding sit in boxes 15 to 20.

Your employer files Copy A with the Social Security Administration. You receive Copies B, C and 2: Copy B goes with your federal return, Copy 2 with a state return, and Copy C stays in your records.

## Who sends it, and when

Every employer that paid you wages issues a W-2, and must furnish it by January 31 of the following year. Most payroll providers post it online the same week; a paper copy may follow by mail.

## Where to get a W-2

1. Your employer’s payroll or HR portal (ADP, Paychex, Gusto, Workday and similar), usually under Tax documents.
2. The mail: paper W-2s go to the address on file with payroll, so a recent move is a common reason it never arrives.
3. Your HR or payroll contact, who can reissue a lost copy.
4. For a past year, the IRS Wage and Income transcript, available in your IRS Online Account.
5. Still missing at the end of February: the IRS can contact the employer for you (have your last pay stub ready).

## Wrong files people send instead

- A final pay stub instead of the W-2. It shows year-to-date totals, but it is not the form.
- Only one W-2 when there were two jobs in the year.
- A phone photo with box 1 or box 2 cut off or blurred.
- Last year’s W-2, downloaded from the same portal.
- Copy C or a payroll summary in place of Copy B.

## Questions people ask

### When is the W-2 deadline?

Employers must furnish W-2s to employees by January 31. If the date falls on a weekend, it moves to the next business day.

### Can I file my taxes without a W-2?

Wait for it or request it first. If it is still missing near the filing deadline, the IRS lets you file using Form 4852, a substitute built from your last pay stub.

### What is the difference between a W-2 and a 1099?

A W-2 is for employees, with taxes withheld by the employer. A 1099-NEC is for independent contractors, paid without withholding.

## Ask once. DokuTrak does the chasing.

- Your client uploads from one link, with no account and no password.
- Reminders go out on a schedule, by default 2, 5, 10 and 14 days after the request, until the file arrives.
- With AI review switched on in your workspace (it is off by default), each upload gets a first pass that flags a file that is not a W-2 or an unreadable or blurry scan. It says so when it is not sure.
- You accept every file or mark it for re-upload, and your client gets the note by email. The AI never accepts a file.
