> **In brief:** An employment verification letter for an apartment is a note from your employer telling a landlord or property manager that you work there, since when, and what you earn. Renters ask HR for it while applying, and the landlord compares it with your pay stubs.

## What is an employment verification letter for an apartment?

**A rental employment letter** is the employer’s answer to one question a landlord asks every applicant: does this person earn enough, steadily, to pay the rent? It gives your title, start date, employment type and pay, and names the property you applied for.

Landlords set their own rules, so the letter is not a legal form. Some accept a recent pay stub alone; others want the letter, two pay stubs and a bank statement. Ask the leasing office what it needs before you write to HR.

The letter also helps people whose pay stubs tell an incomplete story, such as a new hire with no stub yet, or someone whose raise has not reached a paycheck.

## Who sends it, and when

Your employer’s HR or payroll team writes it; at a small business, the owner does. The renter requests it and gives HR the landlord’s contact details. Many property managers prefer that HR sends the letter to them directly, then call the employer to confirm it.

## Where to get an employment verification letter for an apartment

1. Ask the leasing office exactly what it needs: letter only, or letter plus pay stubs and bank statements.
2. Email HR with the landlord’s name, email and the property address, and say pay must be included.
3. Ask HR to send the letter to the landlord and copy you.
4. Attach your two latest pay stubs to the application yourself, so the file is complete when the letter lands.

## Wrong files people send instead

- A letter with no pay, when the landlord’s first question is whether income covers the rent.
- A self-written letter with a personal phone number as the HR contact.
- An offer letter for a job that starts months after the lease does, with no start date confirmed.
- A letter addressed to a different landlord, reused from an earlier application.
- Pay on the letter that differs from the pay stubs, with no note explaining a recent raise.

## What landlords ask when they verify employment

Property managers check the same few facts, from the letter and then by phone. The table shows each question and where the answer usually comes from.

| Landlord’s question | Answered by | Backed up with |
| --- | --- | --- |
| Do you work there now? | The letter and a call to HR | A recent pay stub |
| Since when? | Start date on the letter | Pay stub year-to-date totals |
| How much do you earn? | Salary or hourly rate and hours | Two pay stubs, a W-2 form |
| Is the job ongoing? | Status: permanent, temporary or contract | Contract end date, if any |
| Is the letter genuine? | Letterhead, signer title, company email | A call to the employer’s public number |

## New hires, contractors and self-employed renters

If you just accepted a job, the landlord may take a signed offer letter plus a short employer note confirming your start date. Send the first pay stub as soon as it arrives. The template has an optional new-hire clause for this.

Contractors and self-employed renters have no HR to ask. Offer 1099 forms, last year’s tax return and recent bank statements instead, or a letter from your accountant. The [rental application template](/blog/rental-application-template) post lists what landlords usually collect.

## Does HR have to send the letter directly to the landlord?

No law requires it, but many landlords prefer it, because a letter that passes through the renter can be edited. If the landlord insists, ask HR to email it straight to the leasing office and copy you.

If HR will only hand the letter to you, forward it unchanged as a PDF, and give the landlord HR’s main number so they can confirm it.

## How property managers check the letter

Call the employer on a number you find yourself, such as the company website or a directory, not the number printed on the letter. Then compare the pay on the letter with the pay stubs and the bank deposits.

A **consumer report** is, for this purpose, any report a screening company prepares on an applicant, including calls it makes to employers for you. The FTC gives the example of a reference-checking service that told a landlord an applicant did not work for the listed employer; a denial based on that report needs an adverse action notice ([FTC, Using Consumer Reports: What Landlords Need to Know](https://www.ftc.gov/business-guidance/resources/using-consumer-reports-what-landlords-need-know)).

An **adverse action notice** is the landlord’s notice to an applicant who was denied, or offered worse terms, because of a consumer report. Under federal law, that notice names the reporting company and its contact details and says the company did not make the decision ([15 U.S.C. 1681m, Requirements on users of consumer reports](https://www.law.cornell.edu/uscode/text/15/1681m)). It also tells the applicant of the right to a free copy of the report within 60 days and to dispute errors ([15 U.S.C. 1681m, Requirements on users of consumer reports](https://www.law.cornell.edu/uscode/text/15/1681m)). If a credit score played a part, the notice must give the score too ([15 U.S.C. 1681m, Requirements on users of consumer reports](https://www.law.cornell.edu/uscode/text/15/1681m)). A landlord may obtain a report for a rental the applicant applied for, as a business transaction the consumer started ([15 U.S.C. 1681b, Permissible purposes of consumer reports](https://www.law.cornell.edu/uscode/text/15/1681b)).

## Apply the same standard to every applicant

The Fair Housing Act bars refusing to rent, or setting different terms, because of race, color, religion, sex, familial status, national origin or disability, which the statute calls handicap ([42 U.S.C. 3604, Discrimination in the sale or rental of housing](https://www.law.cornell.edu/uscode/text/42/3604)). The simplest safeguard is one written verification routine applied to everyone: the same letter, the same number of pay stubs, the same call.

Some states and cities also bar refusing a renter because of their source of income, such as a housing voucher. Check the rules where the property sits before you write income criteria.

## The template: Employment verification letter for a rental application

The renter forwards this to HR; HR fills it in, signs it and emails it to the landlord with the renter in copy. Use the new-hire clause in place of the tenure clause for someone who has not started yet.

## Questions people ask

### Can I write my own employment verification letter for an apartment?

You can draft it for HR to save time, but someone at your employer must sign it and give a contact the landlord can call. A letter you sign yourself does not verify anything.

### Will an offer letter work for an apartment if I just started a new job?

Many landlords accept a signed offer letter for a new hire, often with a note from the employer confirming the start date. Expect to send your first pay stub once you receive it.

### What other documents do landlords ask for with the letter?

Commonly two recent pay stubs, a W-2 form or tax return, and recent bank statements. Self-employed renters usually send 1099 forms, a tax return and bank statements instead.

### What must a landlord tell me if a screening report leads to a denial?

The landlord must give you an adverse action notice naming the reporting company, saying it did not make the decision, and telling you of your right to a free copy and to dispute errors ([15 U.S.C. 1681m, Requirements on users of consumer reports](https://www.law.cornell.edu/uscode/text/15/1681m)). If a credit score was used, the notice includes it.
