> A receipt is proof of payment: it shows who was paid, when, how much and for what. For taxes, the IRS expects you to keep records that support the expenses and deductions on your return, and receipts are the usual support. Find them in your email, the seller’s account page or your expense app, and send clear, complete copies.

## What is a receipt?

A useful receipt shows the seller’s name, the date, the amount, the payment method and what was bought. Without the last part, it is hard to show what the expense was for.

A card or bank statement shows that money left your account, but usually not what you bought. Your tax preparer or bookkeeper may ask for the receipt as well, especially for business expenses.

## Who sends it, and when

The seller issues the receipt at the time of payment: printed at the register, emailed after an online order, or generated by the payment tool. Some sellers only send one if you ask.

## Where to get a receipt

1. Your email: search the seller name, “receipt” or “order”, and filter by date.
2. The seller’s website or app, under your account, orders or billing history.
3. Your expense or receipt app, if you scan paper receipts as you go.
4. The seller directly, who can often reissue a lost receipt from the date and amount.
5. For rent or other payments to a person, ask the payee for a written receipt, or use the payment app’s transaction record.

## Wrong files people send instead

- An order confirmation for an order that was later canceled or changed.
- A card statement line instead of the receipt that shows what was bought.
- A photo of a faded thermal receipt where the amount or date cannot be read.
- Only the total, cut off from the store name or the item lines.
- A quote or an unpaid invoice in place of proof of payment.

## Questions people ask

### Do I need receipts to file my taxes?

You do not send them with your return, but the IRS expects you to keep records that support your income, deductions and credits. Your preparer may ask for them to back up specific expenses.

### How long should I keep receipts?

Generally as long as your return can still be examined, often three years after filing, and longer in some situations. Ask your tax preparer what applies to you.

### Is a credit card statement enough instead of a receipt?

It shows the payment, but usually not what you bought. Keep the receipt when you can; if it is lost, ask the seller for a copy.

## Ask once. DokuTrak does the chasing.

- Your client uploads from one link, with no account and no password.
- Reminders go out on a schedule, by default 2, 5, 10 and 14 days after the request, until the file arrives.
- With AI review switched on in your workspace (it is off by default), each upload gets a first pass that flags a file that is not a receipt or an unreadable or blurry scan. It says so when it is not sure.
- You accept every file or mark it for re-upload, and your client gets the note by email. The AI never accepts a file.
