> **In brief:** Proof of income for an apartment is usually your latest consecutive pay stubs, or an offer letter if you just started, plus bank statements. Freelancers send tax returns and 1099 forms, retirees send benefit letters, and voucher holders send the voucher paperwork.

## What is proof of income for an apartment?

A landlord asks for **proof of income for an apartment** to see that you can pay the rent every month. It sits in the rental application next to your ID, your rental history and, often, a credit or background report.

The document itself is the same one a lender or a benefits office reads: a pay stub, a tax return, a benefit letter. What changes is the depth. A landlord usually wants recent months, not years, and rarely asks for signed returns or IRS forms.

**An income ratio** is the rent-to-income rule a landlord applies, for example rent no higher than a third of gross monthly pay. It is the landlord’s own screening policy, not a law, so ask what figure the building uses before you apply.

## Who sends it, and when

Your employer or its payroll service issues pay stubs and offer letters. Your bank issues statements, the Social Security Administration or a pension plan issues benefit letters, and the public housing agency issues voucher paperwork. You gather the set and upload it with the application, or hand it to the leasing office.

## Where to get proof of income for an apartment

1. Ask the leasing office which documents it takes and for how many months, before you pay an application fee.
2. Download your latest consecutive pay stubs from your payroll site, or ask HR for a signed offer letter if you have not been paid yet.
3. Download bank statements as PDFs from your bank’s website for the months the landlord names.
4. If you are self-employed or retired, add a tax return transcript or a benefit award letter.
5. Put your name, the unit and the dates on a short cover note, and upload the files together.

## Wrong files people send instead

- Pay stubs that skip a pay period, so the landlord cannot see a steady income.
- A bank statement with transactions blacked out or cropped.
- An edited or generator-made pay stub. Leasing staff compare stubs with bank deposits and may call the employer.
- Leaving out a second income, such as child support or benefits, that would lift you over the ratio.

## What to send, by renter situation

Find your row, send the first document, and keep the second ready if the landlord asks.

| Your situation | Send first | Have ready |
| --- | --- | --- |
| Salaried or hourly employee | Latest consecutive pay stubs | Last year’s W-2, employer letter |
| Just started a job | Signed offer letter with salary and start date | Savings statement to cover the gap |
| Freelancer or 1099 contractor | Last tax return or IRS transcript | 1099 forms, recent bank statements |
| Retired | Social Security or pension benefit letter | Form SSA-1099, savings statements |
| Disability benefits | Award letter from the agency or insurer | Bank statements showing deposits |
| Housing voucher holder | Voucher and rent portion paperwork from the housing agency | Pay stubs or benefit letter for your share |
| Student | Financial aid award letter | Guarantor’s income documents |

## Self-employed and gig renters

No pay stub does not mean no proof. **A tax return transcript** is the IRS summary of the return you filed, and landlords read it like a yearly pay stub. Your last tax return shows your income after expenses, and an IRS tax return transcript shows the same figures from the IRS’s own records ([IRS, Get your tax records and transcripts](https://www.irs.gov/individuals/get-transcript)).

Landlords also like to see the money arrive. Send several months of bank statements where your client payments land, and your 1099 forms for the last year. A short profit and loss statement for this year helps when last year was slower.

The full list, with what a lender asks for too, is on the [self-employed proof of income](/documents/proof-of-income/self-employed) page.

## Vouchers, benefits and source of income

Federal fair housing law bars refusing to rent, or setting different terms, because of race, color, religion, sex, handicap, familial status or national origin ([42 U.S.C. § 3604, Fair Housing Act](https://www.law.cornell.edu/uscode/text/42/3604)). Income source is not on that federal list, but several states and cities add it.

California is one of them. Its Civil Rights Department says a housing provider cannot refuse to rent because of how a tenant will pay, and names Section 8 vouchers, SSI benefits and wages as sources of income ([California Civil Rights Department, Housing discrimination](https://www.calcivilrights.ca.gov/housing/)). Refusing to fill out a subsidy program’s paperwork is one example it gives of that discrimination ([California Civil Rights Department, Housing discrimination](https://www.calcivilrights.ca.gov/housing/)).

**A Housing Choice voucher** is rent help paid by a public housing agency straight to the landlord, with you paying the rest. If you hold one, send the voucher and the paperwork that shows your share of the rent. Ask whether the landlord applies its income ratio to your share or to the full rent, and check your state’s rule.

## For landlords and property managers: asking and checking

Publish one written list of accepted documents and apply it to every applicant in the same way. That keeps screening consistent and easier to defend.

1. List the documents you accept by situation, with the number of months.
2. Check the name and address on each document match the application.
3. Compare net pay on the stubs with the deposits on the bank statement.
4. Call the employer on a number you found yourself, not the one printed on the stub.
5. Record the income figure you used and how you got it.

## The template: Applicant income documents request

Send this to a rental applicant once the application is in. Set the number of months and your income ratio before you send it.

## Questions people ask

### How many pay stubs does a landlord want?

Landlords often ask for the latest few consecutive stubs, but the number is the landlord’s policy, not a law. Ask the leasing office, and send consecutive ones so no pay period is missing.

### Are bank statements enough on their own?

Sometimes. Many landlords accept several months of statements showing regular deposits, especially for freelancers. Others want a document from the payer too, such as a 1099 form or a benefit letter.

### What if I just started a new job and have no pay stubs?

Send a signed offer letter with your salary and start date. If you move in before your first paycheck, add a savings statement that covers the rent until then.

### Can a landlord refuse my housing voucher?

It depends on where you live. Federal fair housing law does not list source of income ([42 U.S.C. § 3604, Fair Housing Act](https://www.law.cornell.edu/uscode/text/42/3604)), but California and other places do ([California Civil Rights Department, Housing discrimination](https://www.calcivilrights.ca.gov/housing/)). Check your state and city rules.
