> **In brief:** Tax deductions for self employed people land on a handful of forms: Schedule C for business costs, Form 8829 for a home office and Form 7206 for health insurance. Schedule SE, Form 8995 and the quarterly Form 1040-ES payments complete the set, and this checklist lists the record each form is built from.

## The checklist: Sole proprietor return file, form by form

**Not advice.** This page is general information, not tax, legal or HR advice. Rules change: check the cited source and ask your own professional before you rely on it. Last reviewed October 25, 2026.

One copy per tax year. Each group follows a form on the return; tick each line when the record is in the folder, and write "n/a" where it does not apply.

## The forms a sole owner’s return is built from

A **sole proprietor** is someone who owns an unincorporated business alone, and the business has no return of its own. You report profit or loss on Schedule C, then figure self-employment tax on Schedule SE ([IRS, Self-employed tax center](https://www.irs.gov/businesses/small-businesses-self-employed/self-employed-individuals-tax-center)). For 2025, you must file once net earnings from self-employment reach $400 ([IRS Publication 334 (2025)](https://www.irs.gov/publications/p334)).

Most deductions do not sit on Schedule C alone. Some are figured on a side form and carried to the return. Thinking form by form helps a preparer spot a missing paper, because each form asks for its own inputs. The table maps each one to the record behind it.

| Form | What it figures | Record it is built from |
| --- | --- | --- |
| Schedule C | Business income and expenses ([IRS, Self-employed tax center](https://www.irs.gov/businesses/small-businesses-self-employed/self-employed-individuals-tax-center)) | Books, Forms 1099, bank and card statements, receipts |
| Form 8829 | Home office costs and any carryover ([IRS, About Form 8829](https://www.irs.gov/forms-pubs/about-form-8829)) | Office and home square footage, rent or interest, utilities |
| Form 4562 | Depreciation and expensing of assets | Invoices with dates placed in service |
| Form 7206 | Self-employed health insurance deduction ([IRS, About Form 7206](https://www.irs.gov/forms-pubs/about-form-7206)) | Premium statements, month by month |
| Schedule SE | Self-employment tax: 15.3% on 92.35% of net profit ([IRS Publication 334 (2025)](https://www.irs.gov/publications/p334)) | Nothing new; it uses the Schedule C profit |
| Form 8995 | Qualified business income deduction ([IRS, About Form 8995](https://www.irs.gov/forms-pubs/about-form-8995)) | Schedule C profit and any prior-year QBI loss carryover |
| Form 1040-ES | Quarterly estimated tax ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)) | Last year’s return and this year’s profit so far |

## Income, and the records that prove it

Clients and payment apps report part of your income on Forms 1099-NEC, 1099-MISC and 1099-K. Which of them must send a form changed for 2026, and the [1099 contractor checklist](/checklists/tax-documents/independent-contractors) sets out each threshold by year. For a sole owner, the point is simpler: the forms are a partial list, not the total.

Your own records are the real proof of income. Invoices, sales records and every monthly [bank statement](/documents/bank-statement) show what came in. Cash and app payments with no form still count, since all business income must be reported ([IRS, Understanding your Form 1099-K](https://www.irs.gov/businesses/understanding-your-form-1099-k)). The same file serves when a lender asks for proof of income, for example a filed Schedule C plus recent statements.

Keep business and personal money apart if you can. One account and one card used only for the business make every later step faster. When the two mix, mark each business charge on the statement before you send it, and note what each deposit was for.

## Schedule C costs, line by line

Gather receipts by type, since Schedule C asks for them by category, such as advertising, car and truck costs, contract labor, insurance, legal and professional fees, office costs, rent, supplies, travel and utilities. Each needs a receipt or invoice, and a statement that shows payment.

Some lines need more than a receipt. Business meals are generally 50% deductible, so note who you met and why ([IRS Publication 463 (2025)](https://www.irs.gov/publications/p463)). Costlier equipment goes to Form 4562 with the date it was placed in service. If you sell products, the start and end inventory counts feed cost of goods sold.

Car costs need a log, and a 2026 log needs two totals because the rate changed mid-year. The mileage log checklist gives the rates for 2025 and 2026 and what each line of the log must show.

## Deductions that sit outside Schedule C

Several deductions reduce income on the personal side of the return. First, you deduct one-half of your self-employment tax as an adjustment to income ([IRS Publication 334 (2025)](https://www.irs.gov/publications/p334)). It needs no paper, only the Schedule SE figure.

Second, the **self-employed health insurance deduction** is the amount you paid for medical cover as a self-employed person, figured on Form 7206 ([IRS, About Form 7206](https://www.irs.gov/forms-pubs/about-form-7206)). It is lost for any month you could have joined a subsidized plan through your own or your spouse’s employer, even if you did not join ([Form 7206 instructions (2025)](https://www.irs.gov/instructions/i7206)). So note any month with a job offering cover, and keep the premium statements or Form 1095-A.

Third, a contribution to a SEP-IRA or a solo retirement plan comes off income, so the plan statement belongs in the file. Fourth, the **qualified business income deduction** is up to 20 percent of business profit for eligible owners, subject to income limits ([IRS, QBI deduction](https://www.irs.gov/newsroom/qualified-business-income-deduction)). It is figured on Form 8995 ([IRS, About Form 8995](https://www.irs.gov/forms-pubs/about-form-8995)), and last year’s form matters if a QBI loss carried forward.

## Estimated tax: who pays, and the due dates by year

No employer withholds tax for you. For 2026, you generally must pay estimated tax if you expect to owe at least $1,000 after withholding and refundable credits ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)). A late payment can bring a penalty even if you end up with a refund ([IRS, Estimated taxes](https://www.irs.gov/businesses/small-businesses-self-employed/estimated-taxes)).

The **safe harbor** is the payment level that avoids that penalty. For 2026, it is the smaller of 90% of the tax on your 2026 return or 100% of the tax on your 2025 return ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)). If your 2025 adjusted gross income was over $150,000, or $75,000 married filing separately, the second figure becomes 110% ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)). That is why last year’s return is on the list.

Farmers and fishermen follow their own rules, so check before you apply these dates to them ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)). For everyone else, the table gives the four due dates for each tax year. Keep the confirmation for each payment, federal and state.

| Payment | 2025 tax year | 2026 tax year |
| --- | --- | --- |
| First | April 15, 2025 ([Form 1040-ES (2025)](https://www.irs.gov/pub/irs-prior/f1040es--2025.pdf)) | April 15, 2026 ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)) |
| Second | June 16, 2025 ([Form 1040-ES (2025)](https://www.irs.gov/pub/irs-prior/f1040es--2025.pdf)) | June 15, 2026 ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)) |
| Third | September 15, 2025 ([Form 1040-ES (2025)](https://www.irs.gov/pub/irs-prior/f1040es--2025.pdf)) | September 15, 2026 ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)) |
| Fourth | January 15, 2026 ([Form 1040-ES (2025)](https://www.irs.gov/pub/irs-prior/f1040es--2025.pdf)) | January 15, 2027, or none if you file by February 1, 2027 and pay in full ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)) |

## Questions people ask

### What tax documents do I need if I am self-employed?

You need Forms 1099 from clients, invoices and sales records, bank and card statements, receipts for costs, a mileage log, home office figures, health insurance and retirement statements, estimated payment records and last year’s return. Schedule C is built from these ([IRS, Self-employed tax center](https://www.irs.gov/businesses/small-businesses-self-employed/self-employed-individuals-tax-center)).

### When are 2026 estimated tax payments due?

April 15, June 15 and September 15, 2026, then January 15, 2027 ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)). You can skip the January payment if you file your 2026 return by February 1, 2027 and pay the full balance ([Form 1040-ES (2026)](https://www.irs.gov/pub/irs-pdf/f1040es.pdf)).

### How do I deduct health insurance when self-employed?

You figure it on Form 7206 and report it on Schedule 1 of Form 1040 ([IRS, About Form 7206](https://www.irs.gov/forms-pubs/about-form-7206)). Leave out any month you could have joined an employer’s subsidized plan, including a spouse’s ([Form 7206 instructions (2025)](https://www.irs.gov/instructions/i7206)).

### What part of self-employment tax is deductible?

One-half. The tax is 15.3% of net earnings, figured on 92.35% of your profit, and you deduct one-half of it as an adjustment to income ([IRS Publication 334 (2025)](https://www.irs.gov/publications/p334)).
