> **In brief:** Tax deductions for a home office rest on two kinds of proof: that the space is used regularly and only for your business, and what the home costs to run. The simplified method needs little more than the square footage and the months of use; Form 8829 needs the full year of home bills.

## The checklist: Home office proof file: space, use and bills

**Not advice.** This page is general information, not tax, legal or HR advice. Rules change: check the cited source and ask your own professional before you rely on it. Last reviewed October 25, 2026.

Tick the method for this tax year first: simplified or Form 8829. The first two groups apply to both; the home bills apply only to Form 8829.

### Eligibility and use

- [ ] Note of the business that uses the office: Schedule C business, partnership, or the company that reimburses you
- [ ] Dated photos of the office set up for work: Showing no personal use of the space
- [ ] Where admin and billing are done: And any other fixed place you work from
- [ ] Calendar of client meetings at home, if any: Dates and who came
- [ ] Inventory or sample storage area, if claimed: Location and size; exempt from the exclusive-use test

### Measurements and dates

- [ ] Office square footage: Length and width, plus any storage area used
- [ ] Total home square footage: From the lease, appraisal or your own measure
- [ ] Floor sketch with both figures: A hand drawing is fine
- [ ] Months the office was in use: Start or end date if not the whole year; mark months under 15 days

### Home bills (Form 8829 only)

- [ ] Lease and proof of rent paid: Renters: all months of the year
- [ ] Form 1098, Mortgage Interest Statement: Owners: one per loan on the home
- [ ] December mortgage statement: Backs up interest if no Form 1098 arrived
- [ ] Property tax bill: With proof of payment for the year
- [ ] Homeowners or renters insurance declarations: Premium for the policy year
- [ ] Utility bills: power, gas, water, trash: Twelve months of each
- [ ] Second phone line used only for business: Bills for the year; the first landline stays personal
- [ ] Repair invoices, marked office-only or whole-home: Date and what was done

### Prior years and sale records

- [ ] Last year’s Form 8829 and return: For carryovers and past depreciation
- [ ] Closing statement from the home purchase: Owners: price, costs and land value
- [ ] Receipts for home improvements: Kept for as long as you own the home

## Who can claim it, and who cannot

The deduction belongs to people who run a business from home, such as a sole owner filing Schedule C. The space must be used regularly and only for the business ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). It must also be one of three things: your principal place of business, a place where you meet clients or customers in the normal course of business, or a separate structure used for the business ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). Renters qualify as well as owners, and a home can be a house, apartment, condo, mobile home or boat ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)).

An employee who works from home is a different case. Publication 587 asks whether you use the space as an employee, and if so sends you to no deduction ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). Unreimbursed employee costs are miscellaneous itemized deductions, and the law bars them for every tax year after 2017 ([26 U.S.C. 67](https://www.law.cornell.edu/uscode/text/26/67)). Your state may differ, so check its return.

Owners of an S corporation who work in it are its employees, so the same bar applies to them. The usual route is a payment from the company under an **accountable plan**, a written policy under which the owner proves each cost and returns any excess ([IRS Publication 463 (2025)](https://www.irs.gov/publications/p463)). Partners do not use Form 8829 either; they figure the amount on the worksheet in Publication 587 ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)).

## Proving the space: size, use and purpose

**Exclusive use** means a specific area of the home is used only for the business ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). A desk in the corner of a guest room you also use for visitors fails the test. Two cases are exempt from it: storage of inventory or product samples, and a home daycare ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)).

Proof of use is mostly simple paper. Measure the office and the whole home, sketch a floor plan with the numbers, and take dated photos that show the room set up for work. If clients come to the office, a calendar of meetings helps.

A **principal place of business** is where you do the main work, or where you do the admin and management with no other fixed place to do it ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). For example, a plumber who works at client homes but does billing and scheduling only in a home office can meet the test. Note where the admin work happens, since it also affects whether drives from home count, as the mileage log checklist explains.

## Simplified method or Form 8829: the records each needs

You choose a method each year on a timely filed original return, and the choice for that year cannot be changed ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). The **simplified method** is a flat rate per square foot that replaces the home bills. For 2025 returns, it is $5 times the area used for business, with the area capped at 300 square feet ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). Check the 2026 edition of Publication 587 before you file a 2026 return.

With the regular method, you figure actual costs on Form 8829, which also tracks any amount carried to next year ([IRS, About Form 8829](https://www.irs.gov/forms-pubs/about-form-8829)). The simplified method takes no depreciation of the home, and mortgage interest and property tax stay personal items for Schedule A ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). Under the simplified method, if you used the office for only part of the year, count each month with fewer than 15 days of business use as zero ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)).

| Record | Simplified method | Form 8829 (actual costs) |
| --- | --- | --- |
| Office and home square footage | Needed; office area capped at 300 square feet ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)) | Needed, to figure the business share |
| Rent, or Form 1098 mortgage interest | Not used for the office figure; interest stays on Schedule A ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)) | Needed, full year |
| Utilities, insurance, HOA dues | Not used | Needed, full year, at the business share |
| Repairs | Not used | Office-only repairs in full; whole-home repairs at the share |
| Closing statement and land value | Not used: no depreciation under this method ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)) | Needed for depreciation of an owned home |
| Months of use, if part of the year | Needed; months under 15 days count as zero ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)) | Needed, to prorate costs |

## The home bills behind Form 8829

For the regular method, collect a full year of each home cost. Renters need the lease and proof of rent paid. Owners need Form 1098 for mortgage interest, the property tax bill, and the homeowners insurance declarations page. Add electricity, gas, water, trash and any HOA dues or security system bills.

The business share of utilities is generally the same as the share of the home used for business ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). Phone service is an exception. The basic charge for the first landline into the home is a personal cost, while a second line used only for business is deductible ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)).

Furniture and equipment, such as a desk or monitor, are not part of Form 8829. They are deducted as business assets, so keep their invoices in the general business folder.

## Limits, carryovers and selling the home

The deduction cannot create a loss from the business. Costs such as insurance, utilities and depreciation are limited to the gross income from the business use of the home, less the other business costs ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). Amounts you cannot use carry over to the next year in which you use actual costs, not to a simplified-method year ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). So last year’s Form 8829 is on the list.

Depreciation follows you to the sale. When you sell, you cannot exclude the part of the gain equal to depreciation allowed or allowable after May 6, 1997 ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). Keep the closing statement, the improvement invoices and every Form 8829 you filed, for as long as you own the home.

## Questions people ask

### Can a W-2 employee deduct a home office?

Not on the federal return. Unreimbursed employee expenses are miscellaneous itemized deductions, and none are allowed for any tax year after 2017 ([26 U.S.C. 67](https://www.law.cornell.edu/uscode/text/26/67)). Your state may have its own rule, and an employer may reimburse you instead.

### How do I calculate my home office percentage?

Divide the square footage of the office by the square footage of the home. That share then applies to costs such as utilities, insurance and rent ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). Keep the measurements and a floor sketch with the return.

### How much is the simplified home office deduction?

For 2025 returns, it is $5 times the square footage used for business, with the area capped at 300 square feet ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). You need the measurements and the months of use, but not the home bills.

### Does a home office affect selling my home?

It can. You cannot exclude the part of the gain equal to depreciation allowed or allowable after May 6, 1997 ([IRS Publication 587 (2025)](https://www.irs.gov/publications/p587)). Keep every Form 8829 and the purchase papers until the sale year is closed.
